Upon creating Activities and/or Flat Fees in Clio, your Client will automatically populate the Billable Clients list on the New Bills page, awaiting to be billed. You can find the New Bills page here: https://app.goclio.com/bulk_bills
If you’ve entered Activity for a Client Matter, but do not see them on the Billable Clients list, here are a couple things to look out for:
Ensuring Your Matter Is Set To “Billable”
Clio provides you the option to toggle your Matter from Billable, to Non-Billable. Non-Billable allows you to continue to enter Activities for the client without taking up “space” on the Billable Clients list. You can find the option after opening the Matter for editing, and selecting the box that says “This matter is billable.”
Ensure Your Matter Is Linked To A Client
Upon creation, a Matter requires a contact to be linked as a client before allowing you to save it. However, if a client was linked to a contact, and then deleted, the Matter will no longer have a client linked and will not show up on the Billable Clients List.
Check the Matter, and under the “Client” tab below, make sure the contact link exists. If it does not, it will tell you!
If the client was deleted by accident, head to the Recovery Bin. Recovering the client automatically assigns it to the Matter, but if it doesn’t, you can re-link the client back by editing the Matter.
If that doesn’t work, then create a new contact, and link it to the Matter accordingly.
Activities Have Already Been Billed
If the Time Entries, Expenses and/or Flat-Fee amounts have already been billed to another invoice, they are not required to be billed again. To find out if the Activities you are attempting to bill are already invoiced, you can do the following:
- Head to the Matter.
- Select the “Time” or the “Expenses” tab.
The list of Activities will show which bill the Activity is invoiced to. To remove the Activity from that invoice, you will need to delete the invoice, and re-generate the Activities to a new one.
Your Billable Date Range Matches the Range of your Activities
The Billable Clients list provides a list of clients that have available Activities ready for Billing. Selecting the “More” button at the top of the list provides you with more options to sort your criteria. By default, the date range is empty, showing all available Activity. However, if a date range is selected, ensure it matches the dates of the available Activities.
