5 Ways to Automate Your Law Firm with Zapier

In a world of increased competition, falling realization rates, and advancements in technology, solo and small firm lawyers must wear many hats. With an ever-expanding workload, today’s modern legal professionals are increasingly turning to automation to save time and get more done.

That’s where Clio’s Zapier integration comes in.  Zapier allows you to integrate your Clio account with over 500 other business apps. Clio users can set up custom connections, aka Zaps, without any coding knowledge so that redundant or repetitive tasks like these are done for you:

  • Labeling Gmail messages associated with particular Clio matters
  • Updating Clio matters with time entries from Toggl
  • Creating Clio contacts from Google Sheets rows

Thanks to updates recently made to Clio’s Zapier integration, lawyers can now automate even more of their workday. You can now use a Zap to set up a custom search for Clio contacts or matters, then use the results of that search in the next step of your Zap. If the Clio data you’re looking for doesn’t exist, the Zap will automatically create it. For example, if you set up a Zap to search for a particular Clio contact, the Zap will automatically create the contact if it doesn’t already exist, then use the newly created contact in the next step of the Zap.

There are so many new ways to use this updated Clio integration. Here are just a few:

Use a Zap to Automatically Search for Particular Clio Matters

The “Find Matter” Zapier feature allows Clio users to automatically search for existing matters by Client ID or Display Number. Put this new capability to use by creating a Zap that automatically records notes for you in a particular Clio matter. This Zap ensures that your Clio matters automatically contain the most up-to-date notes and will help give your teammates transparency into your matters.

Find Certain Clio Contacts by Setting up a Zap

You can also now use a Zap to automatically search for people in Clio with the “Find Person” feature. Let’s say you set up a Zap that takes care of client intake for you between Wufoo, Clio, and MailChimp. The Zap will use the name on the Wufoo form to search for an existing Clio person with the same name. If the Zap finds that Clio person doesn’t exist with that name, it will create one. Then it will grab the name and email address of that person and create a MailChimp subscriber on your “New Clients” email list.

Don’t spend any more time manually adding new clients or prospects to your Clio or your email marketing tool: this Zap will automatically keep track of them across the platforms you use.

Search for Clio Companieswith a Zap

Try out the “Find Company” feature with a Zap that automatically finds an existing company in Clio then creates a matter for that company. For example, if you scan a paper business card via FullContact, this Zap can then search for an existing company in Clio with the company name from the business card. If the Zap doesn’t find an existing company to match the search in Clio, then it will create one. Finally, the Zap will create a new Matter under the new company. This Zap might come in handy if you want to remind yourself to take action on a new matter you discussed during an in-person meeting or networking event.

  1. Open your browser and log in to both your Clio and Zapier accounts.
  2. Connect your Clio account to your Zapier account.
  3. Check out the pre-made Clio Zaps.
  4. Or create your own from scratch in the Zap Editor.
